As promised, some further details about our upcoming March Madness meet.  The attached PDF should be suitable for clubs to circulate to parents, carers and swimmers.  
 
A few key points to highlight:
 
Withdrawals.  Please do let us have any withdrawals as soon as possible - club entry secretaries please click here to complete our simple Google Form for withdrawals.  Swimmers, parents and carers should notify withdrawals via their club (unless you have entered the meet as an individual swimmer).
 
Officials.  Our officials coordinator should already have been in touch, but just to reiterate - we cannot run our open meets without help from our visiting clubs' officials.  Please do encourage your officials (J1 Trainees and above) to sign up if they possibly can - click here to complete the officials' registration form or contact atlantis.officials@gmail.com with any queries.  Thank you to all who have already come forward.
 
Further entries.  We have a little space for new swimmers and additional entries in sessions 1 and 3.  We can also take additional entries in session 2, but only from swimmers already swimming in that session.
 
Warm-up and session start times.  Do note the final timings, which are different to the provisional times you may have seen previously.
 
VISITOR INFORMATION PACK

Venue: Pavilions in the Park, Horsham, West Sussex, RH12 2DF.  25m deck level pool, 8 lanes, electronic timing, anti-wave lane ropes,  A secondary strobe is available, if necessary, upon request
Age Groups: 9, 10, 11, 12, 13, 14, 15, 16+.  The meet will be run as “age on the day” for swimmers aged 9 and over on 3rd March 2024
Events: 50m, 100m All Strokes and 100m IM. All events will be heat declared winners
Awards: Medals to 1st, 2nd and 3rd in each age group.
Fees: £7.50 per entry (including Regional Levy and 20p contribution to the Hot Heat prize fund).
Entries: Entries open on Wednesday 31st January 2024 at Midday.  Entries in Hytek format to atlantis.galas@gmail.com (or see Standard Conditions for other formats).  Entries accepted on first-come first served basis
Closing date: Saturday 3rd February 2024 at Midday or when the meet is full

*Please note – entries are treated as having been submitted at the time they are received in the Atlantis Galas e-mail box (as determined by the supplier of our email service – gmail), not the time they were sent by the sender.

Held at our home pool in Horsham, Pavilions in the Park which is an 8 lane, 25 metre pool. Providing a competition opportunity to enable athletes to experience racing and to achieve times suitable for entry into Regional and County Championships and other meets at level 1 or 2.

Please find attached the Promoters conditions (meet specific details on pages 1- 4, followed by our standard conditions) and Team Manager Hy-Tek entry file. (If you do not already use Team Manager, Team Manager Lite can be downloaded for free click here instructions are included in promoters conditions). Please contact us if you require a manual entry (please note applications made via this method will attract a £8 administration fee).

When importing a HyTek entry file please ensure that the Course is set to ‘S’ and allow conversions from Lc to Sc. Also, under the eligibility tab the ‘Enforce Qualifying Times’ is ticked. Please also note that some systems are showing the male/open category as just ‘open’.

Confirmation of entries – please note: Sending in entry via Hy-Tek or manual form is ‘making an application’, confirmation of acceptance will be sent via email from atlantis.galas@gmail.com as soon as possible after the closing date (or once the meet is full) when all processing of applications is complete. Do not transfer funds until an entry is confirmed as accepted (we will send you a meet summary & coach pass form, along with your team entry list for checking)
